Grawt Anti-Spam Policy
By creating a Grawt account and agreeing to our
Terms of Use, you also agree to abide by our Anti-Spam Policy. This policy helps ensure that Grawt remains a compliant and trusted platform for email marketing, and failure to comply may result in account suspension or termination.
What is Spam?
Spam refers to any email sent to someone who has not given direct permission to be contacted about the topic in the email. This includes emails sent to lists obtained from third parties, addresses collected without explicit consent, or emails that recipients did not expect or agree to receive.
Acceptable Email Recipients
You may only send emails to individuals who have given
explicit, verifiable permission to receive messages on the topics you’re emailing about. Here’s how you can collect valid email addresses:
- Subscription Forms on Your Website: Recipients who have signed up via a subscribe form on your website, specifically agreeing to receive emails from you.
- Opt-In Checkboxes on Forms: This checkbox must not be checked by default, the person completing the form must willingly select the checkbox to indicate they want to hear from you.
- Offline Consent: If someone completed a survey, entered a competition, or filled out another form offline, you may email them only if they explicitly agreed to receive emails and checked a consent box indicating their preference.
- Recent Customers: Individuals who have purchased a product or service from you within the past two years are eligible to receive emails, provided they did not opt out.
Prohibited Recipients
You may not send emails to individuals if:
- No Explicit Consent: You lack direct permission to contact them about the specific topic of your email.
- Third-Party Lists: The email list was purchased, rented, loaned, or acquired from a third party, regardless of any claims about quality or permission.
- Outdated Contacts: You have not contacted them within the last two years; permissions can expire, and these contacts may not remember subscribing.
- Scraped or Public Information: Email addresses scraped or gathered from websites or public sources without explicit permission are not allowed.
Required Content in Your Emails
To comply with anti-spam laws and maintain transparency, every email you send through Grawt must contain the following elements:
- Single-Click Unsubscribe Link: Each email must include a clear and visible unsubscribe link that allows recipients to instantly remove themselves from your list. Once unsubscribed, they must not receive further emails unless they choose to resubscribe.
- Contact Information: Your valid physical mailing address must be included in each email to fulfill CAN-SPAM and international compliance requirements.
- Accurate Sender Information: Your emails must accurately represent the “From” name and email address to avoid misleading recipients.
Maintaining a Good Sending Reputation
Grawt is committed to high deliverability standards. To ensure all users maintain a strong sender reputation, we monitor key performance metrics and may take action in cases of poor performance. Accounts may be reviewed or suspended if campaigns exhibit:
- High Spam Complaint Rates: Spam complaint rates of more than 0.2% will result in account suspension.
- Excessive Bounces: Campaigns with more than 5% bounce rate indicate potential list quality issues.
- High Unsubscribe Rates: Unsubscribe rates over 1% suggest recipients may not expect or want to receive your emails.
- Low Engagement: Campaigns with very low open rates (below 3%) could indicate a misalignment with subscriber expectations.
If these thresholds are exceeded, we may request proof of recipient permission, temporarily suspend your account, or in serious cases, terminate your account if spam or unconsented emails are identified.
Proof of Consent
To maintain compliance, Grawt may ask you to provide documentation showing you have explicit permission from your recipients to send them emails.
Reporting SpamIf you believe you have received unsolicited emails from a Grawt user or if you notice any suspicious activity, please report it to
support@grawt.com. We will investigate and take appropriate action to maintain the integrity of our platform.
Consequences of Violating this Policy
Violation of Grawt’s Anti-Spam Policy can lead to:
- Account Suspension or Termination: Repeated or severe violations may result in permanent account closure.
- Violation Warnings: Grawt user or domains associated with spam complaints may receive violation warnings.
